Account Deletion

This page explains how to delete your SiteSphere account. The process depends on whether you are a worker on someone else's workspace or the business that owns the workspace.

If you are a worker, leading hand, or supervisor

Your worker profile lives inside a workspace owned by your employer (or, for supervisors, the client business that engaged you). Most fields on your profile are managed by your employer for payroll record-keeping purposes.

To request deletion of your worker profile:

  1. Ask your business admin to remove you. They can deactivate your account inside the SiteSphere admin panel; we remove the personal fields they don't need to retain for payroll record-keeping.
  2. If your business admin is unresponsive or no longer contactable, email privacy@sitesphere.com.au from the email address registered to your account. We will verify your identity and process the request within 30 days.

If you are a business admin or sole owner

To delete an entire workspace, email privacy@sitesphere.com.au from the verified email address on file. We will:

  1. Verify your authority over the workspace.
  2. Confirm whether any active Xero connections, outstanding invoices, or pending pay runs need to be resolved first.
  3. Delete or anonymise the workspace, subject to the retention obligations described below.

What gets deleted

  • Authentication credentials (email, password hash, OAuth tokens).
  • Profile fields not required for payroll record-keeping.
  • Push notification tokens.
  • Email and SMS opt-in preferences.
  • Magic-link grant tokens.
  • Mobile device session state.

What is retained, and why

Australian law requires us, as the data processor for our customers' payroll records, to retain certain information even after an account is closed. Specifically:

  • Payroll records (timesheets, allowances, pay runs, classifications, employment dates) are retained for a minimum of seven years from the date of the relevant pay period, in line with Fair Work Act 2009 (Cth) section 535 and the ATO's record-keeping requirements.
  • Invoice records (where you are a customer's client) are retained for the same statutory period.
  • Tax-relevant fields (TFN, super fund details, bank account at the time of payment) are retained where required by the ATO; access is restricted to authorised personnel only.

Where the law allows, we minimise retained fields to the smallest set required.

How long it takes

We action verified deletion requests within 30 days. Most requests are processed within 5 business days. If we need more time (for example, to coordinate with your business admin), we will email you with the reason and the expected timeframe.

How to verify your request was actioned

We send a confirmation email when your account has been deleted or anonymised. If you don't receive one within 30 days, email privacy@sitesphere.com.au.
